How to choose CRM software in India (2026)

LeadSetu team · 6 Nov 2026

There is no single right CRM for every Indian business. The right one depends on how you sell, how you bill, where your customers reply, where your next leads will come from and how much time your team can give to setting it up.

This guide is a checklist, not a ranking. It names no vendors except our own, and it leaves prices out on purpose: they change often and depend on edition, seats and add-ons, so take them from each vendor directly.

Disclosure: this guide is published by LeadSetu, which makes a CRM. Where we describe how LeadSetu answers a question, we say so, including where it is weaker.

Start with two lists

Before you book a single demo, write down two short lists.

  1. How you sell. Inbound enquiries or outbound prospecting? Field sales or inside sales? Do customers reply by email, phone or WhatsApp? How many deals does one rep handle in a month?
  2. How you bill. Who raises quotes and invoices today? Do you want GST invoices to come from the CRM, or will your accounts team keep invoicing in separate accounting software?

These two lists will rule out half the market before you have seen a screen.

The checklist

1. GST invoicing

If sales raises quotes that become invoices, keeping both in one system saves re-typing line items, buyer GSTINs and the place of supply. Ask:

  • Can a quote become a sales order and then a GST invoice, with HSN or SAC codes per line?
  • Is tax split into CGST and SGST, or IGST, from the place of supply?
  • If your turnover requires e-invoicing, does the CRM produce the e-invoice data, or does that stay in your accounting or GSP tool?
  • Are there GSTR-1 and GSTR-3B style working reports, or only invoice lists?

If sales only needs a pipeline and accounts invoices elsewhere, this matters much less.

2. WhatsApp and calling

Many Indian customers reply on WhatsApp faster than on email. Ask:

  • Is it only click-to-chat links, or does the CRM support the WhatsApp Business Platform with approved templates, a shared inbox and delivery and read receipts?
  • Are conversations logged on the lead, so the next rep can see them?
  • Are opted-out contacts kept out of broadcasts, and are STOP replies honoured?
  • For calling: which Indian telephony providers integrate, and are calls logged automatically with their outcome and recording?

3. Where new leads come from

Most CRMs manage the leads you already have. If your leads arrive through forms, ads and referrals, that is enough. If you prospect outbound, you will also need companies and decision makers to approach. Ask:

  • Does the CRM include a database of companies to find new customers in, or will you buy a list and import it?
  • If you import, are duplicates matched against leads you already have?
  • Is the source of each lead kept, so you know where a contact came from?

4. Team size and admin effort

A five-person sales team and a 500-seat enterprise need very different amounts of setup. Ask:

  • Who will configure fields, stages, workflows and reports, and how long will that take?
  • Are roles, sharing rules and territories available for the size you will be in two years?
  • How hard is it to change a process once it is set up?

5. Support in India

Ask about support hours in IST, onboarding help, training for new reps, and whether there is a person you can call when something breaks in the middle of a quarter-end.

6. Data protection

Under India's Digital Personal Data Protection Act, people can withdraw consent and ask for their data to be erased. Ask:

  • Is there an account-wide do-not-contact list that applies to email, WhatsApp and calls?
  • Are unsubscribes and consent withdrawals honoured automatically?
  • Is there an audit history of who changed or exported what, and when?

7. Total cost

Add up seats, the edition you actually need, add-ons (telephony, WhatsApp, data, help desk) and implementation, not only the headline plan. Ask each vendor for a written quote for your team.

Run a two-week trial

Whatever you shortlist, run a short trial with your own data:

  1. Import last quarter's leads and see how duplicates are handled.
  2. Raise one real quote and turn it into a GST invoice.
  3. Send one WhatsApp template and reply to the answer from the CRM.
  4. Log calls for a few days.
  5. Build one report your manager actually needs.

You will learn more from that than from any comparison table.

How LeadSetu answers this checklist

LeadSetu is a CRM with a built-in B2B lead database. You find companies and decision makers by category, city and size, save them as leads with their source, and work them in the same login: pipeline, quotes, sales orders, GST invoices with e-invoice JSON for upload, GSTR-style working reports, WhatsApp, calling, email sequences from each rep's own mailbox and a help desk. It keeps a do-not-contact list and an audit history.

Where it is weaker: its marketplace of third-party apps is small (there is a REST API and webhooks), it works in the browser rather than through native mobile apps, and the IRN for e-invoices comes from your own GSP or the portal. If those matter most to you, weigh them.
